As an endeavor to enhance competency and also to promote professional excellence, a Competency Development Programme (CDP) on the theme “Effective Business Correspondence and Professional e-mail Writing” was organized by the Internal Quality Assurance Cell (IQAC) for the Teaching and Administrative Staff of the Institute on Saturday, August 06, 2022 at 12:00 Noon in the College Seminar Hall. Dr. K. Rajesh Nayak, Director-Training, College of Banking and Financial Studies, Muscat, Sultanate of Oman was the Key facilitator for the session.
Dr. K. Rajesh Nayak, while sharing his points and perspectives on the theme said – “Writing business e-mails is part of almost every role these days. Moreover, Institutions or Organizations need to convey a professional image in a way to stay ahead of the others. Well-written correspondence or e-mails convey both a positive and professional corporate image and also assure that they receive the attention they deserve. The effective professional writing, which happens consistently and inescapably, is perhaps one of the main driving forces of a productive workplace. But poorly written e-mails will only waste time and lead to frustration or lost opportunities. Hence, it is paramount that all pieces of written correspondences are faultless. The professional reputation can be enhanced or ruined by the way the correspondence is made. Thus, it is essential that the style, content and message are concise, correct and appropriate to the intent of the correspondence”.
“Learning the art of writing a professional e-mail helps you to set a lasting impression of your work etiquettes, including how effectively you communicate. It is important to be crisp so the recipient receives well. Well-written e-mails save time. They allow the recipient to clearly understand the task at hand and respond appropriately. Effective e-mails reduce confusion and increase productivity”. Furthermore, he emphasized on the Five Cs of effective Business Correspondence with various illustrative examples, and also pointed out the rules and tips associated with the e-mail etiquettes.
The session was then open for the questions and queries from the participants which were convincingly attended to by the Key Facilitator.
The Principal Dr. Premalatha V., in her address said – “A teacher’s profession requires lifelong learning and honoring of various skillsets so as to be proficient in the profession, and also to deal effectively with the stakeholders. Developing effective business correspondence skills is therefore one among the important skillsets which must be honed by each one of us. Further, one can have brilliant ideas, but if one cannot get them across, the ideas will not get them anywhere and so is the case with effective correspondence”.
The IQAC Coordinators Mrs. Dejamma A., delivered the welcome address and also introduced the Key Facilitator to the gathering, and Mr. Hardik P. Chauhan proposed the vote of thanks. Mrs. M. Keerthana Bhat, Faculty, Dept. of English compered the programme.
A total of 58 participants including the teaching and Administrative staff members participated in this programme.
The session was interestingly interactive, engagingly meaningful and intellectually enriching one for all. The tips and key take away shared by the Facilitator will certainly help in making better communication. All in all, it was a fruitful and benefitting session for all the participants.
The programme strived to promote the core value of eliciting quest for excellence among the staff members.
